Job Summary

The Document Control Coordinator will be responsible for the receipt, maintenance, archive, retrieval and distribution of drawings, specifications, vendor data, manuals and all other documents required to complete the scope of work, both in hard copy and electronic format.

Responsibilities

• Manage general administrative and record keeping functions including the review and distribution of documentation; preparation of correspondence and meeting minutes, tracking of project milestones and financial deadlines, maintenance of files, logs, drawings and specifications
• Implement Ledcor document control systems and procedures at project start-up and maintains throughout the project
• Organize and maintain all documents and records, including drawings, RFIs, FIs, NCRs, permits, easements, authority submissions, change orders and design review requests
• Manage the filing and uploading of Construction, Traffic, Environment, Quality and Safety Records
• Record and monitor all drawings/documents received from and sent to the client, consultants, subcontractors, project staff and vendors
• Assist with and/or prepare transmittals of drawings/documents for submission to the client, consultants, vendors and subcontractors; manage submittal tracking processes
• Manage and distribute Daily Reports, including Safety & Quality Control Daily Reports
• Manage document processes and systems to ensure control and availability of documentation to site personnel and other project stakeholders
• Ensure the latest revisions of drawing packages and specifications are distributed to the project team and subcontractors in a timely manner; archive all superseded information
• Audit and reconcile drawing logs in order to ensure most current set of drawings/documents are being utilized
• Maintain an index of all original document locations, including those stored offsite
• Assist with the maintenance of electronic document processing, retrieval, and distribution systems in accordance with project document control processes
• Assist in the development of document or content classification to facilitate information capture, search and retrievalIn conjunction with the Project Engineer, consult with end-users regarding problems in accessing electronic content

Requirements

• 3+ years of experience in a document control role, ideally in the construction industry
• Experience with document management systems such as ShareFile is an asset
• Previous experience in general construction and/or civil engineering
• Possess excellent communication skills (written and verbal), confident interacting with key contacts in verbal, written and electronic form
• Proficiency with Microsoft Office products (MS Word, Excel) and Web-based applications
• Proactive, self-motivated and results oriented individual with strong interpersonal skills
• Confident operating in a client-facing role, with the ability to collaborate with a wide range of stakeholders
• Excellent organizational and planning skills and the ability to juggle multiple priorities
