Job Summary
As the Administrative Assistant, you will be responsible for providing varied administrative, secretarial, and business management support to the Engineering & Design Manager and the project team. You will assist the team in maintaining the organization and filing of engineering documents, and will ensure the latest revisions of drawings and permits are provided to the project team and subcontractors. Acting as a backup receptionist for the project, you will represent Ledcor as the first point of contact for the office, and demonstrate a friendly and professional manner, greeting internal and external clients with the best possible service in mind. Your are skilled at multi-tasking, keeping confidential information secure, communicating effectively, organizing, and building rapport with others, and these abilities will contribute to your success in this exciting position.

Responsibilities
  • Completes administrative tasks such as: answering phones, photocopying, filing, faxing, managing calendars, preparing expense reports, coordinating mail and couriers and preparing and distributing correspondence
  • Maintains organization and filling of Engineering documents for the project
  • Ensures the latest revisions of drawings and permits are provided to project team and subcontractors
  • Communicates with management, staff, contacts and visitors, and acts as a resource for general administrative inquiries and information
  • Assists with the coordination of meetings including: scheduling, booking resources, compiling required materials and making catering arrangements
  • Orders office supplies and equipment as required; may coordinate computer requests, phone and office moves and other installations
  • Makes travel arrangements as required
  • Drafts letters/memos for signature
  • Maintains and updates various contact and distribution lists for the project
  • Assists hiring managers with preparation for the arrival of new hires as required; assists with the completion of the Form I-9 process and other paperwork as required
  • May conduct research and/or review administrative processes to improve upon the products, services and support provided
  • Provides switchboard / reception relief
  • Welcomes visitors by greeting them in person and/or on the telephone; answersand/or refers inquiries
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges
  • Coordinates special projects and departmental activities and events
  • Distributes and processes incoming and outgoing mail for the office
  • Ensures the cleanliness of office common areas including kitchens, copy rooms, supply rooms, and boardrooms
  • Maintains and updates floor plans and office space
  • May perform other related duties as assigned


Requirements
  • High school graduate
  • Completion of post-secondary coursework in office administration or previous experience in a similar role, ideally on a construction project site
  • Previous experience answering and routing calls in a busy project environment, with a strong customer service focus
  • Knowledge of general office administrative tasks
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Responsible, reliable, and punctual
  • Positive attitude
  • Strong verbal and written communication skills
  • Strong organizational skills
  • Professional demeanor and presentation
  • Well-organized, self-starter with the ability to multi-task
  • Successful completion of a criminal background check and pre-employment drug & alcohol requirements
