Job Summary:

We are seeking a full-time Marine Operations Coordinator. As the Operations Coordinator you will be responsible for supporting the daily operations of the marine office, by coordinating required administration and reporting processes to ensure an efficient and accurate flow of information between all parties involved ashore and on the water. This position is also responsible for supporting the marine operations management team and performs various business-related administration tasks such as maintaining set KPI’s and reviews corporate initiatives for process improvements.

You will be cross training to learn the day-to-day vessel and crew scheduling duties, to learn all aspects of the daily operations and so that coverage can be provided when those regular employees are away.

Responsibilities:

  • Support the daily operations of the marine office by coordinating required administration and reporting processes to ensure an efficient and accurate flow of information between all parties involved ashore and on the water
  • HSE and maintenance admin support in MobileOps to ensure vessel compliance in accordance with the company SMS
  • Coordinating tie-up/depot repairs and then provides costing sheets for customer invoicing when required (time and materials for depot maintenance)
  • Assist in tracking operational KPI’s and involvement with special projects as directed by management
  • Works with dispatch to support in daily planning of voyages, understand and apply the billing practices for customer contracts and ensure billing accuracies in the Customer Billing File based on received vessel log sheets and 3rd party invoices
  • Conduct vessel visits at the Richmond facility and verify communication between office and vessels is effective by reviewing vessel administration practices
  • Assists with internal HS&E audits (ISM, COR, and Ledcor Gold Standard)
  • Interact with the mariners as needed to emphasize the accurate submission of documentation to the office
  • Office administration duties, as assigned

Requirements:

  • 3+ years in an administrative position within a fast-paced environment  
  • Certificate in a relevant field such as business administration is desirable  
  • Strong knowledge of Adobe Suite and MS Office applications, including Word, Excel and Outlook
  • Excellent written and verbal communication skills with strong attention to detail and accuracy
  • Strong analytical skills, ability to multi-task and set task priorities.
  • Task-oriented with an excellent sense of priority, logic and objectivity; highly organized and capable of managing multiple priorities

Working Conditions:

  • Office based from our Richmond marine office
  • Monday to Friday, 40 hour work weeks
