Job Summary:

We are seeking a dedicated Legal Operations Assistant to provide both routine and confidential administrative support to our department and project management teams, including leadership members. In this role, you will perform a range of tasks within your area of specialization. With limited supervision, you will also serve as an informal resource for other team members, ensuring smooth and efficient operations.

Essential Responsibilities:

  • Performs administrative tasks such as managing multiple calendars, preparing expense reports, coordinating mail and couriers, photocopying, filing, and preparing and distributing correspondence
  • Acts as a key resource for both general administrative inquiries and department or project specific information
  • Schedules and coordinates meetings including facility, venue and resource booking, compiling required materials, and making catering arrangements
  • Arranges travel for leadership team
  • Drafts, edits, and prepares correspondence, reports, presentations and other documentation on behalf of the project management or leadership team
  • Coordinates the ordering of office supplies, computer/communications products and office furniture
  • Develops relationships with vendors and suppliers to maintain optimum service levels on behalf of the organization
  • Carries out a range of diverse and sensitive administrative and operational duties within the department
  • Conducts research on a variety of department related issues

Qualifications:

  • Minimum 5 years of experience in a senior administrative
  • In-depth knowledge of MS Office applications, including Word, Excel, Outlook, PowerPoint, Visio
  • Strong verbal and written communication skills, with excellent customer service focus
  • Excellent organizational and planning skills and the ability to juggle multiple priorities in a dynamic environment.
  • Superb attention to detail and accuracy
  • Ability to provide solutions to atypical problems based on existing policies and procedures
  • Ability to take initiative to liaise with other departments and/or external resources
  • Ability to maintain confidentiality and work with limited supervision, collaborating well with others in a team environment
