Job Summary:

You are an experienced Office Manager who will be responsible for managing a team to coordinate facility services, overseeing the centralized administrative functions of the office and liaising with internal and external stakeholders. This role works closely with the management team to maintain a high standard of customer service and operational efficiency within all areas of responsibility, such as budget related matters. You are a problem solver and continuously look for innovative solutions that can be utilized on projects.

Essential Responsibilities

  • Liaises with operating groups based out of their branch, fostering strong communication and collaboration with stakeholders.
  • Acts as the point of contact for information concerning general office activities, responding to customer inquiries within area of responsibility
  • Provides direction and supervision for direct reports; evaluates and manages the performance of direct reports to support compliance with all company policies, procedures and guidelines
  • Facilitates effective communication between their team and its customers
  • Plans and manages centralized services such as reception/switchboard, mail and couriers, security, cleaning, parking, event support, onsite and offsite company events, etc
  • Supervises procurement of all general office supplies, furniture, and equipment for the office

Qualifications

  • 5+ years of experience working in facilities support, project accounting or an office administration capacity combined with several years of previous supervisory experience
  • Experience managing a small or medium size team
  • Experience in construction, maintenance, and all facets of facility operation
  • Experience working with contractors and suppliers
  • Advanced proficiency with MS Office suite applications and an aptitude for learning various computer systems
  • Experience using Adobe Acrobat Standard, Bluebeam and JD Edwards
  • Strong ability to manage multiple tasks and set priorities in a fast-paced environment
