Job Summary
You are a professional Contracts Administrator with 2-5+ years of experience managing all contract documents and databases relevant to clients and subcontractors. As the Contracts Administrator with Ledcor Technical Services,you will assistwith contract development, administration, tracking and analysis.   • Assist Operations team with the proper handling of contracts, support documentation, bid scopes for subcontractors and related files
  • File and stores all contract documents as per the requirements of Ledcor's processes and procedures
  • Participate in the resolution of client, and subcontractor claims and disputes
  • Ensure all documentation including all standard agreement templates are completed with each subcontractor
  • Maintain subcontract templates and communicate updates or changes to operations staff through document control
  • Maintain log and central filing of potential changes to the prime contract
  • Prepare and distribute reports and statistical data to facilitate planning and maintenance of accurate contract records and files
  • In conjunction with Contracts Manager, review draft subcontracts prior to execution
  • As necessary, prepare correspondence requesting Client to provide changes and/or amendments to the Prime Contract
  • As directed by the Contracts Manager prepare and forward relevant notices within specified timeframes to the Client and subcontractors
  • Coordinate with subcontract managers to ensure all relevant bonding, insurances, worker compensation, and other required subcontract documents have the correct verbiage, are up to date and are valid
  • Assist with preparation and review of draft contracts and change orders for suppliers and subcontractors as required
  • Update and maintain subcontract register
  • Review and track subcontractor onboarding documents, including insurance documentation, and bonds, to ensure they are complete and meet the contractual requirements. Monitor their documentation to ensure that they do not expire while the subcontractor is still working on the project
  • Provide assistance with client and subcontracting invoicing as required
  • Provide assistance with preparation of contractual claims for extension of time and cost as required during contract execution
  • Assist in self-audits and continuous improvement of contract processes and procedures
  • Support the Operations team for subcontract change order process and review all subcontractor change orders prior to final signoff
  • Ensure all subcontractor completion documentation for compliance with contract requirements prior to release of final payment
  • Review amending agreements and change orders to ensure flow down of Prime Contract terms, scope of work and pricing are reasonable
  • Assist in the preparation of insurance claims and manage the claim process
  • Other duties as required

  • Minimum 2-5+ years of related experience
  • Completion of post-secondary education with a diploma or degree related to Construction Management, Engineering, Legal or other related education
  • An understanding of the risks inherent within the construction industry and the contracting out process
  • Knowledge of construction risks and how they pertain to construction contracts
  • Knowledge of subcontractor contract resolution processes
  • Experience with negotiating and resolving contractual risks and recommending mitigation practices
  • Excellent written and communication skills
  • Knowledge of contract terminology, practices and concepts; a familiarity with telecommunications contracts would be an asset
  • Knowledge of finance, accounting, budgeting, and cost control principles including financial reporting, financial data analysis, auditing, and taxation
  • Demonstrated ability to apply strong organizational and time management skills
  • Proactive, self-motivated and results oriented with a willingness to contribute actively in team activities and share ideas
  • Strong computer skills, specifically with MS Office and specialized accounting software
  • Successful completion of a criminal background check and pre-employment drug & alcohol requirements
