Job Summary
The Contract Administrator will perform administrative and clerical tasks in support of the overall team and the company, contributing to effective and efficient day-to-day office operations.

  • Assists with implementation of overall LTS Contract Management System, with a focus on electronic and paper record management
  • Provides general administrative support to Director including filing, mail/courier functions and other tasks as assigned
  • Drives continuous improvement in contract management process
  • Drafts and prepares subcontracts
  • Confirms required insurance and workers compensation coverage has been provided prior to work being performed and conducts periodic checks to maintain 100% compliance
  • Oversees Subcontractor process and coordinates any required HSE approvals
  • Assists with maintaining Subcontractor and client contract databases, including scanning and uploading final, fully executed documents
  • Receives, forwards and/or files related subcontract notifications, work orders, terminations
  • Trains LTS Project Managers on the Subcontractor onboarding process as it develops and changes
  • Creates reports showing current Subcontractor compliance status
  • Assists Director and USA Manager with client contract management, execution, records management, and general formatting and editing of documents
  • Responds to requests for Subcontractor and client contract information
  • Performs other duties as assigned

  • Minimum 2 years of related work experience or combination of relevant education and experience within a dynamic, fast-paced organization
  • Working towards or has completed post-secondary education
  • Reads and understands certificates of insurance is an asset
  • Familiarity with contracts is an asset
  • Records management experience is an asset
  • Familiarity with JD Edwards software system is an asset
  • Experience with continuous improvement is an asset (e.g. looking at processes and identifying areas for clarification, simplification, streamlining and related training)
  • Possesses strong computer skills including Adobe Acrobat and Microsoft Office (Word, Excel, Outlook)
  • Experience working with Microsoft SharePoint and Microsoft Visio is an asset
  • Maintain strict confidentiality of documents and information when necessary
  • Works independently after receiving direction, combined with strong communication skills to ask verbal and written questions when necessary
  • Fosters good business relationships to achieve team goals and objectives
  • Maintains strict confidentiality of documents and information when necessary
  • Organized and possesses a high attention to detail
  • General familiarity with the office environment
