Job Summary
The Document Control Coordinator is responsible for assisting and supporting project teams with their document control needs. This includes monitoring compliance with regards to the creation, storage, maintenance, distribution, and retrieval of documents. The Document Control Coordinator will report to the Document Control Manager and closely collaborate with project teams to continuously drive consistent and efficient processes.

Responsibilities
  • Assist with the setup and configuration of projects on the selected EDMS (Electronic Document Management System) based on project requirements
  • Assist with ongoing EDMS maintenance, including updating metadata fields and/or tags
  • Manage EDMS user accounts and permissions
  • Provide initial and ongoing EDMS training to project teams (internal and external)
  • Assist with the development, implementation, and ongoing maintenance of project-specific document control procedures in accordance with organizational and contractual requirements
  • Monitor compliance by project teams with established project-specific document control procedures by means of compliance checks
  • Build and maintain trusting relationships with project teams, clients, subcontractors, and vendors
  • Assist Document Control Manager with other related duties as needed


Requirements
  • Minimum of three years experience in a document control or similar role, ideally in the Construction industry
  • Excellent organizational and planning skills with the ability to manage multiple priorities
  • Strong technical skills including experience with MS Office Suite and the writing of procedures
  • Technical writing skills to include the writing of procedures
  • Experience with Aconex or similar document management system an asset
  • Strong communication skills, confident operating in a role with the ability to collaborate with a wide range of stakeholders
  • The ability to train, as well as speak and present to small groups of employees is an asset
  • Proactive, self-motivated and results oriented
  • Ability to work independently with minimal supervision
