Job Summary:

As Administrative Assistant/Receptionist for the Vancouver office, you will provide a wide-ranging array of services as a part of our Office Services team. In conjunction with the other members of the administrative team, you will ensure the smooth operation of various accounts, provide coverage for the main reception, and monitor, order, receive and inventory supplies.

Job Description:

Essential Responsibilities:

  • Assist the Team Lead as needed with various projects
  • Reception coverage for breaks and vacations
  • Common area shredders – maintain, change bags as needed
  • Maintenance coordination
  • Coordinating office moves, furniture orders/repairs
  • Order office supplies as required
  • Code and submit invoices
  • Update and maintain Office Services forms and computer files
  • Update Office floor plan
  • Maintain and update the Office Services Office Assistant Manual
  • Drop-off of mail to Shaw Tower, and pickup of Guinness mail
  • Maintain kitchens – loading/unloading dishwashers on all floors (both kitchens), ensuring milk, sugar, coffee machines, etc. are stocked and fridges are free from spoiled food
  • Maintain common areas, workrooms, meeting rooms and boardrooms
  • Maintenance of common area photocopiers and printers (maintain toner levels, paper, submitting service requests, coordinate used toner pick ups & new toner orders as required)

  

Qualifications:

  • Must have a high school diploma
  • Previous experience in a busy, professional office environment preferred
  • Intermediate to advanced skills in Microsoft Office (Word, Excel and Outlook)
  • Previous experience using a busy switchboard, with a strong customer service focus
  • Strong oral and written communication skills
  • Strong aptitude with numbers and attention to detail
  • Well-organized, self-starter with the ability to multi-task
  • Able to adeptly manage both busy times and periods of downtime
  • Enjoys working in a busy, team-oriented environment
  • Enthusiastic, friendly, approachable and team-oriented personality, with a positive attitude
