Job Summary:

You are an energetic and passionate administrative professional looking for the next challenge in your career. As an Office Manager, you will leverage your experience in supporting senior level executives as well as lead the management of our office in Pflugerville, Texas.

Essential Responsibilities

  • Arrange travel for members of the Austin and visiting executive team as needed
  • Oversee the day to day office management for the Austin regional office
  • Review all outside vendor billing, codes for payment, and ensures adherence to department budget
  • Handle and process all office expenses
  • Manage office administrative support team which includes reception
  • Schedule and coordinate executive leadership team meetings as well as other meetings, including facility and venue booking, catering, technical requirements and takes and distributes meeting minutes
  • Assist with on-boarding of new executive’s staff by ensuring supplies, hardware and office space are set up for new employees
  • Coordinate the ordering of office supplies, computer/communications products and office furniture
  • Prepare confidential correspondence and/or reports
  • Conduct research on a variety of department related issues as requested
  • Assist with all other related administrative duties as directed

Qualifications

  • Minimum of 5 years experience in a senior administrative or office management role
  • Post secondary education in a relevant field or equivalent experience
  • Exceptional communication skills with the confidence to communicate with all levels of the organization
  • Engaging personality with the proven ability to build relationships with internal employees and external vendors and service providers
  • Strong written skills
  • Ability to maintain confidentiality and work with minimal supervision
  • Intermediate knowledge of MS Office applications including Word, Excel, Outlook and PowerPoint
  • Excellent organizational and planning skills and the ability to juggle multiple priorities
  • Independent, self-motivated and able to take the initiative to liaise with other departments and/or external sources
  • Thorough understanding and knowledge of the corporate organizational structure, functional responsibilities and general operating requirements at the Home Office and Branch Office levels
