Job Summary:

You are a dynamic administrative professional looking for a critical support role with diverse responsibilities. You have a proven commitment to customer service, a self-starter and team player. In this Equipment Administrator role, you will provide customer support to all Ledcor divisions requiring assistance with owned, leased or rented equipment. This includes providing support for owned and rental unit set ups and registrations. This role also provides administrative support to Business Partners with regard to invoicing and to the Manager, Equipment Finance

Essential Responsibilities:

  • Request new or changed registrations for both Canadian and US licensed owned and rented equipment
  • Process fleet registration renewals and distribute to applicable operating group
  • Assist in resolving registration and titling related issues for Canadian and US divisions
  • Sets up equipment information in JD Edwards (this includes assignment of Ledcor Unit numbers for owned, leased or rented equipment, disposal of rental units, transfer of units, and updating changes to insurance type, serial number, vendor, driver/contact person, gross vehicle weight and status, creating work orders for recall notices)
  • Update and maintain registration and licensing information in Fleet Master
  • Monitors and reports on status of outstanding third-party rental agreements, generates and delivers invoices to lessees, and reviews accounts receivable balances
  • Administers retail and cardlock fuel card programs including reporting, card issuance, card limit adjustments, card inventory management, and monthly billing and coding
  • Completes administrative tasks such as scanning, uploading files, coding invoices, timesheets, ordering and distribution of decals

Qualifications:

  • 1 – 4 years’ experience in office based environment
  • Completion of post-secondary coursework in office administration or related discipline an asset
  • Proficiency with MS Office applications including Word, Excel, PowerPoint, Outlook; an aptitude for learning new computer systems
  • Experience with JD Edwards considered an asset.
  • Ability to work independently as well as in a team, good verbal and written communication skills
  • Ability to manage multiple tasks and set priorities
  • Capable of understanding and following procedures
  • Strong analytical skills with attention to detail and accuracy
  • Excellent organizational and planning skills with a proven ability to problem solve
  • Excellent customer service focus, with an ability to work collaboratively with others

Working Conditions:

  • Office Based Position: 7:30am – 4:30pm
  • Work Schedule: Monday to Friday
