Job Summary:

As an Administrative Assistant you will be responsible for coordinating the daily administration requirements of the marine office in Richmond, BC. You are a driven individual, who continuously looks for opportunities to learn and grow. This role includes reception duties, vendor management, receiving goods, purchasing and other relevant administrative tasks.

Essential Responsibilities:

  • Plans and executes the daily administration requirements for the marine division while working closely with the operations team to ensure they have the required day to day administration support.
  • Answers incoming calls during office hours.
  • Liaison with accounts payable department and coordinates the receiving of PO’s and ensures approved invoices match.
  • Process owner at the Richmond office for receipt of vendor invoices, input into “Image Now” for electronic account coding, and authority matrix approvals.
  • Coordinates vendors and execute transactions for crew coverall laundering and vessel purchase requests for potable water orders, groceries, and vessel supplies.
  • Inventory management for the office, vendor scheduling for deliveries and restocking of inventories.

Qualifications

  • 2 plus years of experience in a similar role
  • Strong knowledge of Adobe Suite and MS Office applications, including Word, Excel and Outlook.
  • Experience with JDE is preferred
  • Excellent written and verbal communication skills with strong attention to detail and accuracy
  • Strong analytical skills, ability to multi-task and set task priorities.
  • Task-oriented with an excellent sense of priority, logic and objectivity; highly organized and capable of managing multiple priorities
