Job Summary:

You are an Administrative Assistant looking for you next exciting site-based opportunity! You will be providing support and assistance to the Pipeline Business Unit Administrator & Project Managers to ensure the administration and technology requirement is met for the projects and the business unit. You’re a team player who helps out with other tasks when needed.

Responsibilities:

  • Assists with onboarding of all new hires for site-based office and field staff, by ensuring computer and hardware equipment is set up and tracking all hardware items.
  • Code and review cell phone, iPad, and fuel card billings.   
  • Coordinate meetings for Sr. Management including scheduling, booking resources, and compiling required materials.
  • Binder preparation for tenders, assists with the creation of procedural documents and presentations.
  • Maintain and manage office facilities and associated vendors and suppliers.
  • Update Resumes & Profiles.
  • Coordinate travel for office and project field staff. Previous Concur experience is an asset. 
  • Maintain and update various contact and distribution lists for the department.

Requirements:

  • Previous site based administrative experience and pipeline project exposure highly regarded.
  • Completion of some post-secondary course work in administration or previous experience in a similar role.
  • Experience using MS Office applications (including Word, Excel, Outlook, PowerPoint, Visio, Sharepoint).
  • Solid keyboarding skills with the attention to detail to find and correct errors in documents.
  • Strong problem solving, verbal and written communication skills
  • Ability to work independently, manage multiple tasks and set priorities
  • Capable of understanding and following written procedures

Working Conditions:

  • Site based position – 6 days on, 1 day off
  • Camp based accommodation
