Job Summary:

You are a Senior Administrative Assistant who provides centralized administrative support to operating groups and shared services. You will demonstrate strong proven capabilities in the delivery of high-quality administrative services and may act as an informal resource to other team members.

Essential Responsibilities:

  • Support accounting administration including all facilities related invoices to ensure costs are accurately coded and liaising with Finance to ensure payments are processed on schedule
  • Responsible for coordinating with Finance for weekly cheque runs for the region including sorting / disturbing cheques and liaising with signing officers to ensure cheques are handled in accordance with established guidelines
  • Assists with the coordination of corporate events for the region including planning meetings, booking venues and budget tracking
  • Administers several mobility accounts to support operations and shared services
  • Assists with the coordination of corporate events for the region, including planning meetings and booking venues
  • Assists the Equipment group and Strategic Sourcing with managing a centralized inventory of office equipment to support project requirements
  • Communicates with management, staff, contacts and visitors, and acts as a resource for general administrative inquiries and information


  • Minimum 5 years of experience in a senior administrative or office management role
  • A minimum of 5 years in an administrative role with at least 1 year working in a senior administrative or office management capacity
  • In-depth knowledge of MS Office applications including Word, Excel, Outlook and PowerPoint
  • Self-motivated with the ability to take the initiative to liaise with other departments and/or external sources.
  • Excellent customer service focus, with an ability to work collaboratively with others
  • Demonstrated reliability, judgment and professionalism
  • Exceptional communication skills both verbally and written
  • Must have good organizational skills and be detailed oriented 
  • Possess sound knowledge of vendor management and negotiation ability
  • Strong problem-solving skills
