Job Summary:

As the Office Services Administrative Assistant you will performs a wide range of administrative and office support activities for the department and various business units to contribute to the efficient operation of the organization. Responsibilities include performing errands on behalf of the organization, general clerical duties, and liaising with the Facilities team to provide excellent customer service. Utilizing your time management and excellent communication skills are essential to prioritize the day effectively and efficiently complete tasks.

This position requires some regular shuttling duties, driving between Edmonton offices and locations which will require a valid drivers license.

Essential Responsibilities:

  • Assists with monitoring and replenishing office supplies in shared lunchroom and copy rooms, reception, meeting rooms and the mail room
  •  Carries out business related errands including, but not limited to, completing deposits and bill payments at the bank; transferring equipment licensing and registration documents
  • Participates in weekly office inspections, works with supervisor to address deficiencies, and liaises with Facilities to administrate the Handyman task list
  • General duties include responding to inquiries for access cards, completing business cards requests and accounting related support including filing, data entry and assisting with courier invoices
  • Provides administrative support for the maintenance of electronic and hard copy files


  • Previous experience in a customer service role
  • A minimum of one year’s experience working in an office administration role is preferred
  • Completion of post-secondary coursework in office administration is an asset
  • Previous reception experience in a busy, professional office environment
  • Experience with data entry, reporting, filing, scheduling and communications
  • Basic computer knowledge including experience with MS Word, Excel, and Outlook
  • Strong verbal and written communication skills, with excellent customer service focus
  • Valid Alberta Class 5 Operator’s license with clean driver’s abstract
  • Good knowledge of the streets and major buildings in Edmonton
  • Ability to maintain confidentiality
  • Ability to prioritize tasks and requests from other team members and office staff
  • Ability to work in a team-oriented work environment

Work Environment:

  • Office Based position
  • Approx. 10% local travel , fuel will be reimbursed
